Primary purpose of
the position:
Essential duties /
responsibilities of the position:
Oversee maintenance of existing infrastructure
Accommodate for modifications such as addition and/or deletion in
designs
Ensure property related Statutory Compliance are met
Supervise smooth functioning of Transport, Security, Cafeteria,
Gymnasium and other Admin facilities
Ensure clearance of goods and maintenance EOU scheme compliance
Oversee coordination with Vendors regarding timely supply of
stationery, projectors, water tankers and printing of documents
Supervise front office activities
Oversee transportation schedules and ensure that vehicles reach
and leave on time from designated points as per COPC norms
Ensure adherence to various Statutory Compliances
Ensure adherence to norms specified by COPC certification and ISO
27001 specifications
Approve bills with regards to Vendor payment
Ensure tagging and tracking of company assets and inventory
Oversee smooth functioning and maintenance of security &
compliance
Supervise allotment
of company accommodation for outstation employees
Ensure
maintenance of company flats & equipments
Coordinate with the flat owners and building
society for entering into lease deeds
Ensure timely resolution of issues and complaints raised by the
building society
Liaise with developers, vendors & architects
Ensure adherence to norms specified by COPC certification and ISO
27001 specifications
Coordinate with the Recruitment Team to get detailed
specifications of the accommodation required for employees who are outstation
candidates
Manage company property such as leased flats, premises, etc
Ensure adequate quantity and good quality of food for all
employees 24/7
Ascertain billing and payment of local PSTN lines for Support
functions
Authorize stationery requirements
Negotiate with Vendors to get cost effective goods and services
Team Management
Measure performance of the team for e.g. performance appraisals,
confirmation and ongoing feedback and training
Build effective vertical and horizontal communication channels
Formulate long term plans for the development and motivation of
the team
Nominate
sub-ordinates for suitable training programs sponsored by the organization to
enhance their capabilities and skill level.
Offer
cordial work environment and cohesive work relationship to the reportees to
facilitate performance.
Coach
and mentor sub-ordinates by involving them in decision making process.
Provide efficient leadership to the team
To be a role-model for the Team in terms of performance/ behavior/
attitude
Responsible for motivating the team, feedback and counseling
Groom and mentor team members to handle more responsibility
Conflict Resolution
To be accessible when an employee has a grievance that can be
resolved by Admin
Conduct timely meetings to ensure open communication and devise an
action plan to address issues/ concerns raised.
Need-based escalation of decisions and ensure proper follow-up of
the same
Graduate from a
reputed Institute or University in any discipline, MBA/
PGDBM in Human Resources or Personnel Management
would prove advantageous
MINIMUM YEARS OF EXPERIENCE:
10-12 years of prior
experience in the field of Office Management, Personnel Management or
Administration, with at least 2 years in the BPO Industry, Knowledge of
Electrical and Infrastructure Developments; Statutory Compliances required to
set up a BPO would be advantageous.
Ability to resolve issues, Ability to manage multiple complex
projects simultaneously, Commitment to quality and ability to manage
performance and change, Comprehension, Composition and Problem solving skills,
Capability to developing and maintaining strong relationships, Aptitude for
negotiation
Familiar with Operating
Systems (Windows 98/95/2000/NT),
Knowledge of MS Office (Word, Excel, PowerPoint) & PeopleSoft
Strong
Planning and Organizational skills, Confident and eloquent in written and oral
communication, Good negotiation skills, Analytical Skills, Self motivated, Focus on Quality, High on
Integrity, Crisis and conflict management, Decision Making, High
follow up skills, Possess high work ethics,
